Question

Xero vs QuickBooks for a small café — which should I choose?

Hi everyone. I run a small café in London and right now everything is done on spreadsheets and paper receipts, which is a mess. I've decided it's time to move to proper accounting software, and everyone seems to recommend either Xero or QuickBooks. For a small hospitality business — tracking daily takings, supplier invoices, VAT and payroll — which one would you go for? Is one easier for beginners? And roughly what do they cost per month at the level I'd need? Any real-world experiences would be really helpful!

Both Xero and QuickBooks are solid choices for a small café — both handle invoicing, VAT and payroll, and both are compatible with Making Tax Digital. Xero is often praised for its clean interface and is very widely used by UK accountants, which can make collaboration easier if you hire one. QuickBooks is known for being beginner-friendly with good built-in reporting, and some people find the initial setup a little simpler. Honestly, for daily takings, supplier invoices and VAT, either will do the job — the best move is to take a free trial of each and see which interface clicks for you. One thing to watch: check which pricing tier includes payroll and VAT filing for your needs, as the cheapest plans sometimes don't, and prices move around, so compare the current plans on their own sites before committing.
